Register a vital event

A vital event is an event of civil status, a birth, an adoption, a marriage, a divorce, a death, that the State records in the civil register.

The ePortal supports registration of five vital event types. Reach the registration flow from the dashboard, the services directory, or directly at eportal.kaharagia.org/vital-events.

The five event types

The specific evidence required depends on the event type, the jurisdiction in which the underlying event occurred, and the nature of the parties' relationship to the Principality.

Before you start

You will need:

  • A K-Connect account with verified identity (registering a vital event is a substantive act and requires you to be verified)
  • The supporting documentation appropriate to the event type (see table above)
  • The personal details of all parties to the event (full name, date and place of birth, identification reference where applicable)
  • Time to fill in the form carefully, the State relies on the accuracy of the information you provide

For some event types, all parties (or their legal representatives) may need to confirm the registration; the form will tell you when this applies.

The registration steps

The flow is similar across event types. The general structure:

  1. Choose the event type: from the five listed above
  2. Confirm your relationship to the event: registrant, party, next of kin, etc. The form may ask additional eligibility questions based on your answer.
  3. Enter the event details: date, place, and nature of the event; the parties involved
  4. Upload supporting documentation: the underlying certificate or instrument that evidences the event
  5. Make the required declarations: that the information is true to the best of your knowledge, that the supporting evidence is genuine, and that you accept the legal framework
  6. Review and submit

Some event types may have additional steps specific to the matter, for example, adoption may require declaration of consent of the adopting party.

After submission

  1. You will receive an inbox confirmation that the registration has been received.
  2. The registration enters the review queue. An officer reviews the supporting documentation and the entered details for consistency.
  3. You may receive inbox messages requesting additional documentation or clarification. Respond promptly through the inbox.
  4. Once approved, the registration is recorded in the civil register. Where the matter is required to be published, a notice appears in the Royal Kaharagian Gazette.
  5. Where applicable, a Kaharagian-issued certificate of the registered event is added to your documents.

Where the underlying event happened outside Kaharagia

Vital events occurring outside the Principality may still be registered in the Kaharagian civil register, subject to applicable rules. The State's registration is the Kaharagian record of the event; it does not affect the legal status of the event in the jurisdiction in which it occurred.

For events occurring in Kaharagia, contemporaneous registration with the State is the canonical record.

Privacy

Vital event data is processed under the ePortal Privacy Notice. Civil-records data has long retention by design, entries in the civil register are part of the permanent record of the Principality and are not subject to ordinary erasure. Common questions

  • "Which date should I use: the date of the event or the date of registration?" The form asks for both. The date of the event is the date the matter actually occurred; the date of registration is when you submit. Be specific.
  • "My supporting document is in another language. Do I need a translation?" Common-language documents are usually fine; an officer will request a translation if needed.
  • "Can I correct a registered event after it's been recorded?" Substantive corrections require evidence and officer review. Submit a correction request through the relevant entry in your record.
  • "What if the event was registered with another country and I want it on the Kaharagian record too?" That's exactly what this flow is for, bring the foreign-issued certificate as supporting documentation.
  • "Are vital events public?" Some are; some are not. Where the matter is required to be published, the publication appears in the Gazette (typically with limited personal detail). The full record of an event is not, in itself, published.
