Your inbox
The inbox is where the State sends messages to you, and where you can reply to messages where a reply is invited. It is the principal channel for substantive communications about your applications, your status, and your record.
Reach the inbox from the main navigation, the dashboard preview, or directly at eportal.kaharagia.org/inbox.
What you'll see in the inbox
The inbox lists messages addressed to you, ordered with the most recent first. Each entry shows:
- The sender (which institution or office)
- The subject line
- A brief preview of the body
- The timestamp
- An indicator of whether the message is unread, read, or replied
Click a message to open it.
Reading a message
An open message shows:
- The full sender details (institution, office, sometimes the named officer)
- The full body of the message
- Any attachments (forms, supporting documents)
- The action expected of you, if any (acknowledge, supply more information, accept or decline an offer)
- The reply box, if a reply is invited
If the message refers to a request you've submitted, there will usually be a link back to that request.
Replying
Where a reply is invited, the reply box at the foot of the message lets you respond directly. Replies are routed back to the sending office.
A few things to note:
- The reply is part of the same official communication thread; treat it as you would any formal correspondence with the State
- Attachments can be added (size and format limits will be shown)
- Once sent, a reply cannot be edited; you can send a follow-up if needed
- If a reply box is not present, the message is informational and no reply is invited; for follow-up, use the contact channel or the relevant request page
Message types you may receive
- Request acknowledgements: confirmation that an application or petition has been received
- Information requests: a clarifying question or a request for additional documentation, with the action expected of you
- Decisions: outcomes of applications you've submitted (accepted, declined, or "more information needed")
- Document deliveries: notification that a document has been issued and is available in your documents
- Offers and notifications: for example, a notice of intended conferral of an honour, asking you to confirm acceptance
- Programme communications: messages from State programmes you participate in (e.g. Lifeblood)
- Administrative notices: updates relevant to your record or status
Notifications
You can choose how you're notified about new inbox messages in your profile communication preferences:
- Email: a notification email when a new message arrives, with a link back to the inbox
- In-app: a counter and badge on the inbox icon
You cannot disable notifications for messages requiring your action by a deadline; those will always be delivered through whatever channel reaches you.
Searching and archiving
The inbox supports basic search by sender, subject, or keyword. Older messages remain available, there is no automatic archive cut-off, but you can mark messages as archived to keep your active list tidy.
Privacy
Inbox content is processed under the ePortal Privacy Notice. Messages and replies are part of your record and are retained according to the State's archival rules.
Common questions
- "I received a message about an honour. Is it real?" Honour notifications go through the inbox (or, in the case of the public Honours service, through tokenised correspondence). If unsure, verify through the Honours service or contact the Office of Laws & Justice.
- "I want to write to the State, but the message I want to reply to has no reply box." Use the contact form or visit the relevant request page.
- "A message says I have a deadline. What happens if I miss it?" It depends on the matter. Some deadlines are strict (an offer of an honour may lapse); others can be extended on request. Read the message carefully and act in good time.
- "I deleted a message. Can I get it back?" Messages are not permanently deleted by the user; the "delete" action archives them. Look in archived messages.
