Your profile

Your profile in the ePortal is the personal information the State has about you and the way you appear in interactions with State systems. This page covers what's in the profile, what you can change yourself, and what requires officer review.

Reach your profile from the account menu (top-right of the ePortal header) or directly at eportal.kaharagia.org/profile.

What's in your profile

Your profile contains:

  • Identity fields: legal name, date and place of birth, nationality status, ID-card status
  • Contact details: email, postal address, telephone
  • Photo: the portrait used on your ID card and in your dashboard header
  • Signature: your handwritten signature, used on issued documents
  • Communication preferences: language, notification settings

Changes you can make immediately

These are accepted on submission, subject to ordinary fraud checks:

  • Contact details: changing your email, postal address, or telephone
  • Photo: uploading a new portrait
  • Signature: uploading a new signature image
  • Communication preferences: opting in or out of non-essential notifications, choosing your preferred language

For each, click the relevant field, enter the new value (or upload the new file), and save.

Changes that need officer review

Substantive changes to identity touch on civil-records law and are reviewed by an officer of the relevant institution before being applied:

  • Legal name: typically requires supporting documentation (marriage certificate, court order, etc.)
  • Date or place of birth: rarely changed; requires strong supporting evidence
  • Nationality status: governed by substantive law (see Petition for nationality)

Submitting a request through the profile is the act of asking the relevant institution to consider the change. You'll be told what evidence is needed.

Photo: requirements and tips

Your profile photo is used on your ID card and in your ePortal header. For best results:

  • Plain, light background: white or off-white preferred
  • Face centred and looking forward: eyes open, mouth closed, neutral expression
  • No headwear: except where worn for religious reasons (hat must not obscure facial features)
  • No filters or heavy edits: the photo should reflect how you currently look
  • Adequate resolution: at least 600×600 pixels; higher is fine
  • Recent: taken within the last six months

Common formats (JPEG, PNG) are accepted. The upload tool will let you crop and adjust before saving.

Signature: requirements and tips

Your signature appears on documents issued to you. To capture a good one:

  • Sign on plain white paper with a dark pen (black or dark blue)
  • Fill the page reasonably. Don't make it tiny
  • Take a well-lit photo or scan
  • Upload through the profile page

The system will process the image to extract the signature against a transparent background. You can re-upload at any time if the result isn't satisfactory.

If you've applied for an ID card and your signature was rejected at review, you'll be directed to eportal.kaharagia.org/id-card-application/resubmit-signature specifically to provide a fresh signature.

Communication preferences

You can choose:

  • Language: for ePortal text and outgoing communications, where multilingual support is available
  • Email notifications: for new inbox messages, status changes on your requests, and periodic summaries
  • In-app notifications: what triggers a notification badge in the header

You cannot opt out of legally required communications (decisions on your applications, security-critical notifications, official notices addressed to you).

Privacy

How profile data is processed is described in the ePortal Privacy Notice. The summary:

  • Profile data is processed for the operation of the relevant register
  • Photos and signatures are kept under access controls and used for ID-card production and document signing
  • You can request access, correction, and (in limited circumstances) deletion of profile data

Common questions

  • "Why can't I change my name myself?" Names are part of the civil register; changes require evidence and officer review.
  • "Where do I change my password?" Password is managed in K-Connect, not in the ePortal profile. See Account security.
  • "My photo was rejected. Why?" The photo failed to meet the quality, format, or content requirements above. Submit a new one.
